Contribution report filtering

Post by andyi »

I find that when generating quarterly contribution statements to be mailed to our congregation, I can't get the filter right so that only those reports I'm interested in are printed.

What I want to print out are statements for those who either:
1) Pledged to contribute to the church or
2) Contributed to the church (whether they pledged or not).

I don't want to print out statements to those members that neither pledged nor contributed. Unfortunately, in order print out those that pledged but didn't contribute, I have to include all who didn't contribute. After all are printed out, I remove by hand those that did neither.

Am I missing something?

I'm not sure of what version of PC+ you're running, but in versions 8 on up, you can filter the reports by the amount a person has given. On the filter page, where you can select the personal profile codes to pull by, you have a greyed out area that will allow you to select by an amount given over, all you have to do is click the 'radio' button to turn that area 'on'. We used this at the end of the year to only print those reports on those who gave more than the amount the IRS requires for a receipt to be sent.

All the others were not printed.

Doesn't that automatically exclude those that have pledged but not contributed? We want the report to be a record for those who gave. We also use it as a reminder for those who have pledged (whether they've contributed or not). So, we want to filter out only those who neither pledged nor contributed.

We're using PC Plus 9.

Actually, I had forgotten this, and I just tested my theory.

If you select the ALL Contributions report:

the default is to NOT print statements where the amount given is ZERO, but also to print statements with pledges. So, do NOT check that box about zero amount statements, while it will filter out those who have not given, it will NOT filter out those who have not given but have pledged. You'll also want to turn on pledge balance outstanding line.

I just tested the system, and the above settings will only print those who have given, those who have given & pledged, and those who have pledged but not yet contributed.

What you may want to do is test it on your system. Find someone in your system who has not given anything, then try running the statements with those settings, but do not send to the printer, just review on screen. Then look to see if you can find that person.
