Contributions posting has odd behavior

Maybe it is user error. I'll start with that.

We posted Contributions in February to Fund Accounting. When I went to reconcile the bank account, some of the Contributions had not posted in Fund Accounting. They were "stuck" in Fund Accounting / Modify Unposted Transactions with a posting month of February.

I changed the posting month to April (the current working month) and they posted ok.

I am guessing that the secretary posted the Contribution on Feb 27 in the Contributions module, but forgot to post in Fund Accounting. After March 1st (maybe the 2nd or 3rd), I closed February without checking for unposted transactions.

Once the month changed, and the unposted Contribution had a posting month of February, the transaction just hung out there without posting.

Does this sound correct?

There were actually 4 transactions (3 were dated in February, and one was March 1st) that all had a posting month of February and never posted.

it does sound right, especially since you closed February. We've got used to keeping the entire 18 months open, and closing the earliest every month to open the next.

Fund Accounting would tell you to post transactions for February before closing. It won't allow you to close if there are unposted transactions. That would indicate that the month had already been closed when the Contributions were posted.

Zorak, that leaves me wondering what happened procedurally to leave those transactions unposted.

My current working month is April, and the transactions have been hanging out there since February with a posting month of February.

What other possibilities are there?

I believe that the Modify Unposted Transactions screen would allow you to change the accounting month to one that is already closed. That's the only other thing that I can think of.

On the Modify Unposted Transactions screen, in plain text at the bottom left of the screen, you will see the date and time listed of when the transaction was created, as well as what user, and where the transaction came from, like:

"From Contributions on 4/15/2011 11:46AM by System Admin"

It will also list to the right if the transaction was modified by whom and when.

Since your transaction is already posted, you would look on the View Posted Transactions screen. If you scroll to the right in the Transaction List view, you can see this information, or just switch over to the Transaction Detail view.
