Contributions entered with wrong date

Post by debbieg »

Last year (2009) the financial secreatary entered a small number of contributions with the wrong date...specifically, the wrong year. She put them as Nov. 18, 2009. this wasn't discovered until early this year so those items were missing from any contribution statements. I told her early in the year that she needed to correct those before we got to November again but it never happened.

How should she get rid of these contributions so that they don't show up on the 2010 statements?
thanks,
Debbie

I take it she entered it as 2010, not 2009 ??

In any case, if the year is not 2010, these will not turn up the the yearly statements. However, if the date is indeed 2010, then you have to identify the contributor in question, the amount and the fund.

Then using the Contributions Entry process, create a contribution entry for the exact amount originally given, but make it NEGATIVE by putting a minus sign in front of it.

So, if the entry was for Env 100, Fund 2, $50.00 on 11/18/10, you would enter:

Env 100, Fund 2, -50.00, 11/18/10.

This cancels out the original entry, and nothing will show up on the statement.

NOTE: all the data entered must be exactly the same except for the negative amount, or it will show up as another entry on the report.

I am assuming that they have already been re-entered with the correct date. If there is not supposed to be any contributions recorded on that date, you can use the delete old data option in contributions. It will let you specify a date range and you could only delete that one day. Usual warnings about making a backup first and double checking the dates before you delete.
