Correction a contributions error

I just learned I incorrectly applied a contribution back in February to a general giving fund instead of a pledge fund.

I used the Search for Contributions function to apply the contribution to the correct pledge fund so that the member's pledge information is now correct.

However, by comparing the current Fund Summary for February with the one I saved at the end of February, it appears no change was made to the actual fund totals.

Am I correct in thinking that I must now follow the documented procedure for "Correcting a posted contribution"?

Are there two different funds ??

If so, you must perform a reversing transaction on the incorrect fund by entering a contribution entry for the negative amount. Then you need to enter the contribution for the correct fund.

In this way, the funds will be corrected, as well as the member's contribution statement.

You confirmed the procedure I thought should be done, but I wanted to make sure before I went ahead. Better safe....

Aha! But, by having done the Search for Contributions procedure first, then following up with the reversing procedure the member's pledge information now shows he has contributed the amount TWICE!

I'm restoring to yesterday's backup and starting over, doing just the reversing procedure and NOT the Search for Contributions.

Curiouser and curiouser....

Following the previous post I went back to look at the printed report from the February offering in question; the report shows that I did apply this particular contribution to the correct pledge fund (Fund 1). This got my attention and got me digging deeper.

When I printed quarterly contribution statements last week, this member's total contribution amount was correct but the pledge amount was short by one month's contribution (the Feb. contribution). (The member informed me of the discrepancy this morning.)

When I first checked Posted Contributions this morning for this member's YTD contributions, the February contribution came up as general giving (Fund 11) not as a pledge (Fund 1). That's when I performed the Search for Contributions to fix the error. I subsequently ran Posted Contributions and all seemed in order there.

I reprinted the quarterly statement, and all was in order there.

Then I ran Fund Summary for February and saw that nothing had been changed (this was before looking at the hard-copy report I printed in February). At this point, I backed up Contributions and posted my original question.

I have now restored to yesterday's backup (ADF) and here is what I find:

The Posted Contributions report shows that every contribution made by this member was posted to Fund 1 (pledges). (Why it showed differently the first time I ran the report is a puzzle....)

A reprint of the quarterly statement (as of yesterday's backup) shows the discrepancy by the amount of the February contribution. (This is the discrepancy the member reported to me this morning.)

My next stop was at View Posted Contributions and here it gets more interesting: For every contribution made by this member, View Posted Contributions shows Fund: 1 and Fund Description: Pledges (both of these are correct).

HOWEVER, in the column headed Pledge the February cell is BLANK while all of the other cells show "Pledge."

Not only that, but when I now click on Search for Contributions under Maintain Pledges (remember, I'm still with yesterday's backup) it reports that there are NO unassigned contributions that could be assigned to a pledge. Yet, when I did Search for Contributions earlier this morning the February contribution came up as unassigned so I clicked the box next to that single item and clicked Finish (if I am remembering correctly).

Surely it is not the case that an operation performed this morning would still be in effect FOLLOWING a restore of an earlier backup! (The audit logs for both Contributions and Fund Accounting list yesterday's postings as the final events that have occurred.)

Any thoughts as to what's going on here?

(Other than operator error.... but if that's the case, what was the likely error so I can avoid it in the future? I really don't understand how any of the actions I have done today up to and including the restore from yesterday can produce the results I've gotten.)

(...time out to restore this morning's Contributions backup, the one I made after doing the original Search for Contributions and assigning the Feb. contribution to Fund 1...)

OK, now View Posted Contributions shows Pledge in every cell and the member's quarterly statement shows all contributions attributed to the pledge Fund 1. I think I'll quit while I'm ahead! :wink:
