Customize Contribution Statement for Window Envelopes

Post by UMCSOFinSec »

We use window envelopes for mailed annual Contribution Statements, which means we need to fold the statement at the right place in order to have the mailing address show in the envelope window. There is that nice horizontal line on the Contribution Statement dividing the Address section of the standard Contribution Statement from the Contributions section, but it is 1/4 inch to far down on the page to be used as the fold line. The simple solution would seem to be to remove a couple of the blank lines under the mailing address so that horizontal line could serve as the fold line.

I haven't been able to find any discussion of this. Is there a way of producing a customized version of this statement that would move that horizontal line 1/4 inch higher on the page?

There is no discussion about this. Frankly, I've been using window envelopes with the contributions statement for years. What I did was take a printed contribution statement and go to Staples or Office Depot, and verify which envelopes properly displayed the return address, and the donor address, and purchased them.

I do know that the window envelopes sold by Dynamic Systems work with the statement.

Thanks Neil. I didn't know that there were envelopes with the windows in different positions. I'll check that out.

What I've done is to modify the custom background I've prepared that has our Financial Secretaries signatures on it (I make sufficient copies to print on at statement time). I've added tic marks in the margins at the right place for the fold. It works, but it would be a lot nicer to have that full line available for folding.

There's another thing that could possibly help here. If you navigate to File>Preferences>Contribution Setup>Pledges/Statements, you can change the upper and bottom margins, IF you check the box that says "Print contribution statements on letterhead." That option is greyed-out if you don't check the box.

It appears you are using a background that you pre-print and then re-print with the statements???? I pre-print letterhead and print the statements on these. Adjusting the margins might get you what you want.

yes, I had to look for several envelopes that had windows in the proper spot after measuring the address locations relative to the top corner. To resolve the fit even more, we are lucky to have a fancy folding machine that I setup with custom stops such that it folds the contribution statements in a way that fits the envelopes plus the mail-to addresses are visible through the windows. a lot of trial and error, though, but we switched to windowed envelopes for everything (checks and statements).
