April Income showing up in May??

Post by hamrickdt »

Why would April income be showing up on the May reports? I've verified that the 4/30 contributions were posted on 4/30 by pulling a funds report in the contributions module, even though the contributions were not put in until 5/1 - they don't show up anywhere in May. However, when I pull an Accounting Funds Balance report and an Income & Expense report for May the 4/30 income is included in the current period amount. Did I do something wrong when I put this in? Is there a way to correct it now? How would I go about doing this in the future?

Thank you!

This his how it could happen:

1. Whoever posted from Contributions, posted the April transactions to funds accounting as being in April income.

2. Whoever posted in the Funds Accounting module posted all pending transactions to April, instead of changing that 4/30 transaction to May.

FWIW ... we here at APC post the income to the month it was contributed, even though the deposit was not recorded until the following month.

April Income showing up in May??

Post by hamrickdt »

I think I figured out what I did. When I came in on Monday, May 1st, my working month was still April. Because the collection was taken up on Sunday, April 30th, I did not immediately come in and close a month and change the working month to May. I went ahead and put in the contributions, but after I posted it to April and sometime before I went into the FA module I must have made the changes as far as closing out the month and changing the working month to May. On the FA Posting Report for 5/1/2006 it's listed as:

CONTRIB. - Contributions 04/30/2006 Journal: CO May 2006 Date: 4/30/2006

Would that be the reason it's showing up on the FA reports but not on the contribution reports?

Is there a way to correct this?

Thanks again!

Yes, that is why the 4/30 contributions are showing up on the May Fund Accounting reports. To correct, you will need to reverse the Fund Accounting transaction for the May posting month and then reinput it for the April posting month.

"To correct, you will need to reverse the Fund Accounting transaction for the May posting month and then reinput it for the April posting month."

Would this just be a general ledger entry in the FA module?

Thank you - both of you - for all your help!!

Yes. You can easily reverse the transaction by finding it in View Posted Transactions in Fund Accounting and then clicking the Reverse button.
