New people added through the Contributions Module

New people added through the Contributions Module

In our church, when our tellers receive money from someone who is not in the system, they enter them and assign them an envelope number. Our church secretary is responsible for maintaining the Membership data and wants to keep the information standardized for the purpose of label printing etc... The problem is our church secretary is also the Pastor's Wife and for safeguard purposed don't allow either of them access to the Contributions Module. So my question is, what is the easiest way for the church secretary to recognize "new" entries to the system with out seeing the Contributions Module. The easiest way I know is for her to print an envelope numbers report and just look at the latest numbers assigned. However, she can't see any data with envelope numbers. Thanks for your help

OK .. scenario is like this, using V11.1 or 11.5:

On Sunday (for example), your counters enter contributions and add two new families. That Monday, the secretary comes in and runs the Selected Records report from the Family Mailing List standard reports.

As the only selection criteria she needs to select is the Dates Registered from date. V11.1 and 11.5 will have yesterday as the date to select from. The report will only return families entered (registered) in the system as of Sunday.

There are other selection standard date ranges, and you also can add a custom date range if she only does this every other week.

In v10.x I believe you have to enter the date (01-01-2012) but the report is the same.

If you use PowerChurch Today, there is an option to display the new families. By default this shows new families added in the last 14 days. The PowerChurch Today can also automatically be displayed each time PowerChurch is run.

You can then click on the family name and the integrated data entry screen for that family will be shown.

As I said, sometimes its simple, but not that obvious ... since I don't have PC Today setup, I never notice this ... :wall:
