How to Combine Couple Record that recently Married

Post by FirstMOBC »

Hello
I have a couple that originally were single but are now married. I need to combine their membership I think. How do I handle their membership record as a family. The young lady record has her maiden name.

1. Choose which Family Mailing List record you want to use. If they're moving to one or the other's location, that makes it easy.

2. Find the lady's or gent's Family Mailing List record (or the parent's :) ) in the Integrated Data Entry function, highlight his or her personal profile from the family members tab, and then click the MOVE PROFILE button.

3. Select the mailing list record you identified in step 1, and the system will move the personal profile (and all its data) to that family mailing list record.
If the Family Mailing List record only had the one personal profile attached, the system (In v11.5, and I think in v11.1) will ask if you want to now delete that mailing list record. Do so, its no longer needed.

4. Head back to the mailing list record selected in step 1. Update the Mailing List Record to reflect the Mr & Mrs, update the Salutation.

5. Head to the Family Members tab, select the lady's personal profile, and update it to reflect the married name, the date of marriage, etc.. Do the same for the Spouses date of marriage.

Lastly, if you are going to merge the envelopes, do so from the Contributions => Reassign => Reassign an envelope number and change the one number to the other. The system will then merge all contributions into one envelope.

Hope this helps.

Ouch ... !

FWIW .. for divorces it works much the same way, but you only want to create a Family Mailing Record.

1. You need to find out who is the one keeping the address (if they are), and move the other person's personal profile from that.

2. You can open the Integrated Data Entry, UNCHECK the Use Family Assistant checkbox, then click the ADD button. A popup will ask for the Last Name & First Name of the new family (or in this case, the newly divorced person), then click OK. The Family Mailing List screen will open, and you'll fill in the details.

You will have an issue when it comes to any contribution envelope number assigned. If one person was a member, and the other not, then its not much of a problem. However, if they were both members, someone will need to keep the history of contributions so far this year, and the other will get a new number. This is not something I'm even going to try to speculate on :P In any case, assign (or remove) the envelope number before you try the next step.

3. You then look for the Family Mailing List record you selected in Step 1, and MOVE the other person to this newly created Family Mailing List record.

Hope this helps.
