Class Promotion

I have done everything but still can't run the promotion report - I have entered all the promotion informatio
but still I get the message "no records selected" - I am missing some piece of the puzzle but can't figure out what it is! help!

In version 11, which I'm assuming you're using, if you have the Promotion month setup for August, and you entered all the data in August, and you didn't change the Promotion Year when you added people, the next set of promotions will occur next year.

I'm assuming that when you run the report, you're using a promotion year of 2010. I'd try running it with 2011, to see what turns up, if that displays your report let us know.

I just tried, and that didn't work. When I go to activities and skills and click class promotion I get "no promotion dates have been assigned" - it says where to do that but I can't find where to insert a date!

The promotion month is assigned under File -> Preferences -> Activities & Skills Setup. I'm not sure if there's a default for that or not.

If you can't access that you may have to have the System Admin person do that.

Yep, did that already, it's set for "August" - maybe a phone call to PC is in order!

Actually...it says "No promotion dates have been assigned. Promotion dates are assigned in the Maintain Activities and Skills Screen". When I go there - I can't see a place to put a date! I'm starting to get a little loopy from looking at this all day!!!!!!!! (Thanks for your help, by the way! :)

OK .. do this first:

Head to the Maintain Activities & Skills under the Activities module. Note: I'm not taking about the Maintain Activities & Skills Description located under the Setup submenu of Activities.

You should then locate one of the people assigned to a class you want to promote. Click on the activity to highlight it, then click on the Details button.

I suspect that their record will look like this:

Note the added date, then the year of promotion. Since the promotion date is August, the system thinks that its not necessary to promote.

It should look like this:

The first time you are setting up Class Promotion, you would have to add the promotion year on each person in the activity separately. In the future, when you add new people into the activity, they would be assigned the promotion year automatically.

Would this work if you just add one person and set the year manually and save that, then add everyone else ??

OHHHHHH!
This is the problem. I have to go in and set the promotion date to each individual???? AAAGGGGGHHHH I thought this was supposed to be easier!?

OK. I gotta do what I gotta do, which is go into each profile in each class and set the promotion date. Now my question is - because it's August, do I put it at 2010 or 2011? If I changed it to september, filled the promotion date in as 2010 and then changed it back to August would that work?

Existing people in an activity will not automatically have a promotion year. You can either add them manually, or if it would be easier, remove everyone from the activity and add them back in to get the promotion year to show up automatically.

If your promotions have not yet happened for August 2010 and everyone is still in their old classes in the program, then enter 2010 as everyone's promotion year, except those who will stay in their existing class for another year or more, then of course, you would enter the appropriate year to promote them.

Once finished with this, you will be able to process the class promotion for 2010 and move everyone into the new classes whenever you are ready to. Only those with 2010 promotion year will be moved. Those without a promotion year, or one in the future will stay in the existing classes.
