Managing group events and family activities in a community setting

Hi,
I’m currently looking for ways to properly organise events for families, like group stays or retreats, but managing participants, the kids and all the different activities is becoming a bit of a headache. In these situations, what do you guys usually use to keep track of registrations and details? Especially since there's always different profiles to handle (adults, children, specific needs, etc.). Last time we stayed at a family hotel in Paris and trying to coordinate everyone's room and schedule without a solid tool was just a mess lol. I’m also wondering if there are any tools that make it easy to track contributions from each family, particularly when there’s multiple payments or special arrangements involved. Ideally, I need something structured enough to avoid mistakes but not too heavy to manage on a day-to-day basis. Any tips?
